Job Description:

NPS is seeking an experienced executive assistant to work alongside the Director, and become an important part of our district. The assistant will be expected to perform a variety of tasks, keep long term projects on track, and handle more urgent requirements. The ideal candidate must be responsive, thoughtful, self-directed, positive, willing to learn, and enthusiastic about assuming a challenging, fast-paced role.Duties include a wide variety of secretarial tasks to include preparation, monitoring and compliance of grants; managing official files. In addition, under the direction of the Director of Curriculum, Instruction, and Assessment, the assistant will also strive to locate existing and novel funding from different organizations and individuals by researching, drafting, and submitting proposals, as appropriate. Responsibilites include:1. Assist in the preparation and coordination of private, state and federal grants; monitors grant compliance, budget and evaluations. Assist with departmental budgets; maintain accounting and budget records; set up purchase order system; receive and verify purchase orders against expenditures and budgets; keep Director of Curriculum, Instruction, and Assessment and Director of Finance informed of budget status on a regular basis.2. Develop data, prepare background information, and assist the Superintendent, Director of Curriculum, Instruction, and Assessment and the Director of Student Services in preparation, presentation, and communication of existing and novel grant proposals and confirms successful application for this funding. 3. Assist with managing the daily office needs of the central office, specifically the Director of Curriculum, Instruction, and Assessment, and support/direct activities of assigned clerical staff when needed to work on district-wide projects.4.Attend meetings, including but not limited to curriculum task force meetings and DESE grant writing informational sessions, as requested by the Director of Curriculum, Instruction, and Assessment; record and transcribe minutes of meetings as required; distribute copies of minutes as appropriate.5.Routinely interpret policies and procedures for members of the public.6.Perform a variety of related duties and special projects as assigned.

    • EDUCATION AND EXPERIENCE:---Experience researching, drafting, and submitting proposals that help schools/organizations or individuals receive grant funding---Minimum of five years with increased secretarial responsibilities and office management experience. ---School district experience preferred.---In-depth knowledge of school and district programs, procedures, standards and experience working with public schools.---Experience writing, managing, and/or researching federal, state, and local grants---Knowledge of commonly used office machines, office procedures and practices and time management techniques.---High level of proficiency in oral and written English language usage, spelling, business mathematics and communications.---Ability to exhibit superior customer relations and service skills with other staff and the community.---Ability to maintain confidentiality with issues of a highly sensitive nature---Ability to work independently and with minimal supervision.---Ability to provide direction and training to departmental and building clerical staff---Ability to perform complex clerical projects and assignments.---Competency in typing, word processing, and transcription skills.
