Coordinator Coastal Windows & Exteriors Job Summary Coastal Windows
& Exteriors is seeking a highly organized and results-driven
Production Coordinator to be integral to the success of our
production department and post-point-of-sale customer service. This
role is primarily focused on achieving installation revenue targets
through meticulous logistics management, maintaining excellent
customer communication, and ensuring accurate data entry and
reporting. The Production Coordinator serves as the central hub for
all production-related activities, reporting to the Production
Manager and General Manager. Key Responsibilities 1. Install
Revenue and Production (Primary KPI) Serve as the primary point of
contact for installers, fostering effective relationships and
communication. Conduct daily check-ins with installers for
Estimated Times of Arrival (ETAs) and progress updates. Accountable
for achieving monthly installation revenue targets, which are
determined by the 4th day of the bonus-eligible month based on
backlog, job status, and Milestone reporting. Manage the logistics
of material deliveries, dumpsters, portable toilets, and
installation scheduling. Ensure strict adherence to company
Standard Operating Procedures (SOPs) for job workflow. Manage
relationships with distributors. 2. Customer Service and
Communication Supervise the local Production Assistant, focusing on
securing outstanding online reviews for professionalism and
communication. Complete all communication tasks as outlined in
company SOPs, with time-stamped updates in the Customer
Relationship Management (CRM) system. Execute all welcome, pre-job,
first-day-of-job, and completion calls. Maintain proactive
communication: Customers within 60 days of the projected start
date: Call, text, and email every two weeks. Customers beyond 90
days of the projected start date: Call, text, and email weekly.
Arrange and manage communications for HIGH PRIORITY CUSTOMERS on
behalf of management. Conduct end-of-job calls for collection
purposes. 3. Data Entry and Reporting Maintain on-time and accurate
data entry for precise payroll processing and organizational
planning. Maintain and manage reports (e.g., Job Status Report,
Milestones, Backlog Installer bandwidth) to effectively manage
priorities. Maintain the Installation Tracker. Provide weekly
backlog updates for all customers with projects 30 days or older.
Generate and submit the Clarification Report and Collection Report
each morning. Generate and submit the Weekly End of Week report.
Prepare for and conduct weekly Job Status Report (JSR) and Backlog
meetings. Verify LATP (Labor and Travel Pay) and MATP (Material
Pay), and all other costs in the CRM. Track service calls and
escalate to the General Manager (GM). Register warranties.
Compensation and Benefits Salary: $60,000 Annually Standard Bonus:
$600 per month (equating to $7,200 annually), distributed with the
last payroll of the month. Total Annual Compensation: $67,200
(Salary Standard Bonus) Review Bonus (Additional Opportunity due to
high levels of customer satisfaction): 11-15 Google Reviews: $500
Bonus 14-19 Google Reviews: $750 Bonus 20 Google Reviews: $1,000
Bonus (Minimum of 10 Google Reviews must be met to qualify for
